We live in an era of rapid change, where each day it\u2019s out with the old and in with the new. Many behaviours and beliefs that were acceptable are becoming less tolerated in our modern society. I have addressed some of these changes including <a href=\"https:\/\/ioadvisory.com\/blog\/working-from-home-alone\/\" target=\"_blank\" rel=\"noopener noreferrer\">working from home<\/a>, <a href=\"https:\/\/ioadvisory.com\/blog\/new-work-era-employee-fulfillment-matters\/\" target=\"_blank\" rel=\"noopener noreferrer\">employee fulfilment<\/a>, <a href=\"https:\/\/ioadvisory.com\/blog\/neurodiversity-questions-answers-ofosu\/\" target=\"_blank\" rel=\"noopener noreferrer\">neurodiversity<\/a>, and more <a href=\"https:\/\/ioadvisory.com\/blog\/being-ourselves-vs-covering-at-work\/\" target=\"_blank\" rel=\"noopener noreferrer\">inclusive workplaces<\/a> in previous articles.<\/p>\n<p><a href=\"https:\/\/ioadvisory.com\/blog\/wp-content\/uploads\/2019\/06\/100624madmen_poster1.jpg\"><img decoding=\"async\" class=\"alignleft size-medium wp-image-9897\" src=\"https:\/\/ioadvisory.com\/blog\/wp-content\/uploads\/2019\/06\/100624madmen_poster1-207x300.jpg\" alt=\"Mad Men era featured different style of time management\" width=\"207\" height=\"300\" srcset=\"https:\/\/ioadvisory.com\/blog\/wp-content\/uploads\/2019\/06\/100624madmen_poster1-207x300.jpg 207w, https:\/\/ioadvisory.com\/blog\/wp-content\/uploads\/2019\/06\/100624madmen_poster1.jpg 210w\" sizes=\"(max-width: 207px) 100vw, 207px\" \/><\/a>These past articles illustrate how far we have come regarding including better representation of all segments of our population within the workforce. We are starting to see different types of people in the boardroom, and sometimes women are the leaders of these meetings.\u00a0 So with this undeniable shift of the times, where many organizations no longer look like a clich\u00e9d scene from \u2018<a href=\"https:\/\/www.imdb.com\/title\/tt0804503\/\" target=\"_blank\" rel=\"noopener noreferrer\">Mad Men<\/a>\u2019 (a TV series set in the 1950s and 60\u2019s, a time when the workplace was full of sexism and not so subtle exclusion of people of colour).<\/p>\n<p>Male bosses no longer sit in a boardroom sipping bourbon and ask their \u2018secretary\u2019 to bring in fresh ashtrays while they continue to argue over the next strategy in their sales slogan. As much as some things have changed, other things have remained the same. Two obvious examples are meetings and time management.<\/p>\n<p>Many of us still find ourselves in long, unnecessary boardroom meetings. \u00a0While there, people are still lounging in swivel chairs, bored as our fingers tap against a long table, aware that our precious minutes are being underutilized as we wait for the boss to show up to tell us something that could have easily been discussed via email? As one client said, <em>\u201cI literally had a meeting the other day about scheduling another meeting so that staff could discuss rules and regulations about using the lunchroom.\u201d<\/em><\/p>\n<h2><span style=\"font-size: 12pt;\"><strong>Time Is Money<\/strong><\/span><\/h2>\n<p>Most of us have heard the phrase \u2018time is money\u2019 but does the workplace really appreciate how much time is spent unproductively? Do we pay enough attention to our time management? Many employers still waste time and money with unnecessary meetings instead of making use of technologies or software that can make communication with hundreds if not thousands of employees with just a click and send of a keypad or mouse.<\/p>\n<p><a href=\"https:\/\/ioadvisory.com\/blog\/wp-content\/uploads\/2019\/06\/1889631-rev.jpg\"><img decoding=\"async\" class=\"alignleft wp-image-9900 \" src=\"https:\/\/ioadvisory.com\/blog\/wp-content\/uploads\/2019\/06\/1889631-rev-300x169.jpg\" alt=\"time management is affected by meetings\" width=\"359\" height=\"202\" srcset=\"https:\/\/ioadvisory.com\/blog\/wp-content\/uploads\/2019\/06\/1889631-rev-300x169.jpg 300w, https:\/\/ioadvisory.com\/blog\/wp-content\/uploads\/2019\/06\/1889631-rev-768x432.jpg 768w, https:\/\/ioadvisory.com\/blog\/wp-content\/uploads\/2019\/06\/1889631-rev-1024x576.jpg 1024w, https:\/\/ioadvisory.com\/blog\/wp-content\/uploads\/2019\/06\/1889631-rev-1080x608.jpg 1080w\" sizes=\"(max-width: 359px) 100vw, 359px\" \/><\/a>When we know we have a meeting coming up in an hour or two, often the time leading up to the meeting is less productive \u2013 in fact, a series of studies out of Ohio State showed that <strong>we get about 22% less done during that lead up<\/strong> to the meeting. Then, during the meeting, we\u2019re at the meeting so we\u2019re not producing anything. When we also factor in the lost time that\u2019s spent getting to-and-from these face-to-face interactions, we only compound the issue. One clever workaround to improve our time management is to \u2018stack\u2019 all our meetings into one day or one half-day so that we eliminate the productivity drop that happens while leading up to meetings.<\/p>\n<p>I won\u2019t say that in-person meetings aren\u2019t worthwhile, I just think that we should do a better job of identifying situations where it\u2019s worth the effort to meet in person versus the times when sharing the information in a different way (e.g., via email or a short video that can be watched) is just as, or possibly more, effective. When the information that will be communicated mostly in one direction (i.e., one or a few people will do most of the talking rather than it being a discussion) and when the topic is neutral rather than emotionally loaded, we should think about alternatives to bringing everyone together into one room.<\/p>\n<h2><span style=\"font-size: 12pt;\"><strong>A Time and a Place<\/strong><\/span><\/h2>\n<p><a href=\"https:\/\/ioadvisory.com\/blog\/wp-content\/uploads\/2019\/06\/nathan-dumlao-553945-unsplash.jpg\"><img decoding=\"async\" class=\"alignright size-medium wp-image-9902\" src=\"https:\/\/ioadvisory.com\/blog\/wp-content\/uploads\/2019\/06\/nathan-dumlao-553945-unsplash-300x200.jpg\" alt=\"time management is linked to productivity in organizations\" width=\"300\" height=\"200\" srcset=\"https:\/\/ioadvisory.com\/blog\/wp-content\/uploads\/2019\/06\/nathan-dumlao-553945-unsplash-300x200.jpg 300w, https:\/\/ioadvisory.com\/blog\/wp-content\/uploads\/2019\/06\/nathan-dumlao-553945-unsplash-768x512.jpg 768w, https:\/\/ioadvisory.com\/blog\/wp-content\/uploads\/2019\/06\/nathan-dumlao-553945-unsplash-1024x683.jpg 1024w, https:\/\/ioadvisory.com\/blog\/wp-content\/uploads\/2019\/06\/nathan-dumlao-553945-unsplash-1080x720.jpg 1080w\" sizes=\"(max-width: 300px) 100vw, 300px\" \/><\/a>This leads to another concept that time and place at work isn\u2019t always what it used to be. \u00a0Many people have discovered the advantages of working from home and\/or from virtual offices. \u00a0Depending on their role, employees can now work virtually from anywhere.\u00a0 Even forward-thinking \u2018Mad Men\u201d wouldn\u2019t have thought this would ever be possible. But the times<em> are <\/em>and, in many ways, already have changed. Now, businesses need to keep up with these fast and ever-changing ways, or they will find they are not only wasting their time but also undermining their bottom line. Many organizations have found ways to collaborate on documents and projects in real-time via tools like Slack and Asana, and cloud-based collaborative tools including Google Drive and iCloud.
